R.T. Moore has been a fixture in the commercial and residential construction industries since 1955. Family-owned, the company operates by the same values its founder instilled all those years ago: Do what’s right, be honest and fair, build strong relationships, and share in the company’s success. R.T. Moore is a full-service Mechanical Contractor, providing plumbing, HVAC, engineering and design services. They have 4 main offices in Indianapolis, Sarasota, Fort Myers, and Columbus, and additional warehouse facilities in Franklin, IN. They provide in-house Engineering, CAD, and 3D Building Information Modeling Expertise. R.T. Moore’s target markets include high-rise apartments, garden apartments, assisted living, student housing, and hotels. They have over 600 full-time employees and annual revenue that exceeds $110 million.
R.T. Moore processes approximately 45,000 invoices annually between their 4 office locations, warehouse locations, and the many construction sites. Their finance team is overrun with paper, from the paper invoices coming in, to the shuffling of paper in the approvals process, to the filing of invoices and matching of invoices, all the way up to paper checks for payment.
Wanting a more clear and up-to-date perspective on their financials, R.T. Moore is frustrated by not being able to see images of invoices without manually searching through their files and finding the paper copies. Their requisition and PO processes are immensely time-consuming and cumbersome. They are using a completely manual 3-way matching process, which is not only time-consuming, but also more subject to human error. And they have little control over their capital purchases being made, due to a lack of oversight and workflow, and want to ensure large items are approved before being purchased.
Goals of this project are to:

- Improve financial controls
After researching their options, R.T. Moore decided to partner with DataServ based on several factors, including the ability to tailor the software within the solution, the support level provided in the implementation stages and beyond, and their proprietary AutoVouch™ technology. AutoVouch will allow R.T. Moore to have a high percentage of truly touchless invoice processing, which will lead to sizable cost savings and much faster processing time.
DataServ worked with R.T. Moore to design an automation plan that is tailored to their needs and budget. The automation processes will be fully integrated with their ERP system (Microsoft Dynamics/Great Plains), making rollout seamless and quick. By automating the 3-way matching process, and utilizing AutoVouch, their finance team will not have to manually review paper invoices, allowing them the efficiency and accuracy of a touchless AP process and freeing them up to do higher value work.
R.T. Moore is looking forward to enhanced visibility into their invoices and producing more accurate financial evaluations.
