What Every AP Leader Should Know About Mexico’s E-Invoicing Mandates

As U.S. companies expand operations into Mexico, near-shoring isn’t just about proximity, it’s about opportunity. Lower costs, skilled finance teams, and shared time zones make Mexico an attractive choice for accounts payable operations. But with these benefits come new challenges: navigating Mexico’s strict e-invoicing mandates without slowing down AP processes.

For many DataServ clients, like Bunzl and White-Rodgers, this balancing act is a reality. Their growing operations in Chihuahua, Mexico, rely on a near-shore AP workforce to support U.S. business. The question is: how do you stay compliant with Mexico’s CFDI requirements while maintaining the speed and consistency of automation?

The rise of near-shore AP teams

Near-shoring AP teams to Mexico is becoming the go-to strategy for manufacturers, distributors, and logistics firms. Why? Skilled finance professionals, shared time zones, and lower operational costs make it a smart move.

But once invoices start crossing borders, companies quickly encounter a new layer of complexity: compliance with Mexico’s Comprobante Fiscal Digital por Internet (CFDI) system. This government-mandated e-invoicing framework ensures transparency and consistency but adds significant challenges for global AP teams.

What Mexico’s CFDI rules require

Since 2014, Mexico has required all businesses to issue and receive electronic invoices through the government-mandated CFDI format. The latest version, CFDI 4.0, has been mandatory since January 2022, and it’s no small task.

Every invoice must include key tax details like the RFC (tax ID) for both sender and receiver, a folio number, transaction type, and more. Invoices are validated against requirements from Mexico’s tax authority (SAT), and many businesses also include an optional Addenda to capture commercial details like PO numbers or delivery information.

For global AP teams, this means adapting to a system where every invoice is government validated, which is a far cry from the processes most U.S. companies are used to.
