Why AP Must Be Modernized Before Your ERP Migration

  • July 29, 2026

You’ve selected the new ERP, secured the budget, assembled the implementation team, and set the go-live date. What almost no one has fully planned for is what happens to accounts payable while all of that is underway.

ERP migrations get all the attention. AP readiness gets none. And that’s exactly where migration risk lands, not in the ERP implementation itself, but in AP, where invoices are still moving, vendors still need to get paid, and the team is absorbing a system change in real time.

AP Isn't Just Along for the Ride

When an organization moves to a new ERP, accounts payable doesn’t simply transfer over. It has to operate through a transition where data lives in two systems, workflows are in flux, and controls built for the old environment don’t fully apply to the new one.

That’s when things break. Invoices fall through the cracks. Vendor records that weren’t cleaned up carry their inconsistencies forward. Duplicate payments happen not because of carelessness, but because visibility into what’s been paid and what hasn’t is temporarily fragmented. Payment cycles slow down, supplier relationships fray, and the AP team is running harder than ever just to stay even.

None of this happens because the ERP project was poorly managed. It happens because AP wasn’t treated as a workstream that needs its own readiness plan.

The Case for Modernizing AP Before You Migrate

Here’s what most organizations get backwards: they assume the new ERP will fix their AP problems. What it actually does is surface them.

If your process is heavily manual today, a system change doesn’t fix that. You’re still relying on staff to key in data, chase approvals, and reconcile invoices by hand, just in a new interface, during the most disruptive period your finance team will face in years.

The organizations that come out of ERP migrations with AP intact built a cleaner, more automated process before go-live. They didn’t wait for the new system to solve problems the old system created.

What AP Readiness Actually Requires

It comes down to four things:

  • Clean vendor data. Duplicate vendor records are a leading source of overpayments during migrations. Consolidating and cleansing that data before go-live keeps those errors out of the new system entirely.
  • Automation that operates upstream of the ERP. When invoice capture, matching, and routing happen before the ERP rather than inside it, the system change becomes a back-end event. The invoices keep moving.
  • Visibility across the transition period. When transactions exist in two systems at once, centralized invoice tracking is what keeps the AP team from losing sight of what’s been paid, what’s pending, and what’s at risk.
  • Controls that aren’t ERP-dependent. Approval workflows built inside your old ERP may not survive the migration intact. Purpose-built AP automation is portable. It moves with you.

You need workflow management software like DataServ to make this happen, enabling teams to split up the work more easily and maintain visibility across the process. However, technology readiness is necessary, but not sufficient. The organizations that navigate migrations successfully also plan for the human side by clearly defining ownership during cutover, ensuring the team is properly trained, and establishing how communication will flow when challenges arise. Preparation sets the foundation, and execution is what holds it together.

The Right Time to Modernize Is Before You Need To

ERP migrations surface AP problems that have been managed around for years: vendor records never fully maintained, approval processes that ran on tribal knowledge, invoice matching that depended on specific people knowing where to look. Those workarounds don’t survive a system change.

AP automation addresses those problems before migration creates a crisis. Invoice capture that delivers 99%+ accuracy removes the data entry variable. Automated matching through AutoVouchâ„¢ eliminates manual reconciliation. Centralized workflow visibility means nothing gets lost in an inbox or an approval queue.

DataServ integrates with the ERP environments enterprise organizations are moving to and from, including SAP, Microsoft Dynamics, NetSuite, and Oracle. Most organizations come out of ERP migrations with AP problems they didn’t have going in. Ours don’t. If you have a migration on the roadmap, let’s talk about why.
